What is an EHS platform?

EHS (Environmental, Health, and Safety) software is a comprehensive data management system designed to help businesses capture, store, and analyze information pertinent to workplace health and safety. This versatile platform allows companies to monitor several aspects of their operations, including waste management, sustainability efforts, and incidents or accidents occurring within the workplace.

Can you explain how your pricing works?

Our pricing structure is determined by two key factors:

  • Firstly, it depends on the number of contacts or workers, contractors, etc. within your organization.
  • Secondly, it varies based on the number of modules you choose to implement.  

In essence, our pricing is calculated by considering the total number of contacts across the selected modules for initial rollout. This approach allows us to tailor pricing to your organization's specific needs and scale.

What is needed from our IT department to get started/implement the EHS Insight platform? 

Absolutely nothing!

EHS Insight is a SaaS application running in the cloud and can be implemented without an IT department or any IT involvement.  

There are scenarios, however, where having IT involvement is critical to the successful implementation. Such scenarios are, but not limited to:

  • SSO Requirements
  • Historical Data import 
  • Integrations (flat file or using API) 

What is needed from our IT department and our team to replace our current EHS platform?

This is dependent on the current EHS platform and whether or not you want to migrate historical data to EHS Insight. EHS Insight may require IT's expertise to analyze your existing platform and execute a data export, likely in CSV or raw data format. This step is crucial for mapping out and integrating historical data into the new platform using our predefined templates.

In some cases, the creation of integration scripts, using our API, is vital for a seamless transition, ensuring all necessary data and structural elements are accurately transferred. Effective communication between our team and IT will be key to ensuring a successful platform replacement. 

How long does the implementation process take?

  • Standard Support – Average 30-60 days
  • Enterprise Support – Average 3-9 months 

The duration of the implementation process can vary significantly from one customer to another.

The key factor influencing this timeline is the level of dedication and the resources that the customer is able to commit. Specifically, the availability and involvement of IT professionals, subject matter experts, and representatives focusing on safety, health, and environmental concerns are critical.

With the right level of commitment and resources, it is possible to complete the implementation process within 60 to 90 days, and some as fast as one week.

However, it is important to note that for most customers, the process can take up to nine months or more. The variance in this timeframe underscores the custom-made nature of each implementation, tailored to meet the unique needs and capabilities of each customer. 

Is there any software that must be installed on the client to operate the solution?

Nothing besides a modern browser (Chrome, Edge, Safari, Firefox, etc.). 

How are the user’s managed? Is it only local to the software or can we use LDAP?

Our system offers versatile user management options, catering to a variety of organizational needs. Users can be managed locally, akin to spreadsheet management, allowing for the addition, editing, and toggling between active and inactive statuses.

Beyond local management, the system supports integration with external services such as Active Directory (AD) and various payroll providers, through API Integration, like ADP, enabling centralized management of user credentials and seamless synchronization with payroll information.

Additionally, for those requiring LDAP (Lightweight Directory Access Protocol), our system is fully capable of integrating with LDAP services, offering further flexibility in user management through centralized directory services. This approach ensures a comprehensive solution for managing user accounts efficiently and effectively, whether through local control or integration with external systems. 

Can we pay extra to have EHSI handle the implementation, uploading data, configure an API etc?

At EHS Insight, we provide initial assistance with implementation, including some uploading of historical data (depending on source and format).

However, to ensure data protection, we encourage our customers to manage these processes independently after the initial setup. We have designed our data import process to be as simple as 1-2-3, empowering our customers to handle their data securely and efficiently. 

How hands-on are support during implementation, if you purchased enterprise support?

When you choose our Enterprise Support, you're assured of an exceptionally hands-on support experience throughout the entire implementation process. You will have access to a dedicated Implementation Specialist, a Customer Success Representative, and an Account Manager. Each are committed to ensuring your setup is tailored to the organization’s specific needs and completed to your satisfaction.

This comprehensive support extends to all aspects of configuration, including scripts, fields, forms, and more, providing you with a white-glove service experience. From start to finish, our team is dedicated to guiding you through each step, ensuring a smooth and efficient implementation that meets all your requirements.  

With Enterprise Support, you can expect a partnership that prioritizes your success, offering personalized guidance and expertise every step of the way. 

Are workflows customizable?

Most forms within EHS Insight have workflows associated with them. The workflows themselves are set, but you can choose to enable or disable some of the workflow steps.  

The EHS Insight’s onboarding specialist will discuss each option and guide you to selecting a workflow that is in-line with your specific needs. 

Can you provide us your roadmap for the next 12 months? 

We do not share proprietary information, including detailed roadmaps for the upcoming 12 months.

However, our sales team is committed to maintaining transparency by sharing general insights and what we are planning for the future. This includes how we intend to innovate and adapt to meet the evolving needs of our customers. A common question from customers concerns our ability to scale with them, and we assure you that understanding and preparing for growth is a priority for us.

We are constantly updating and improving our solutions, adding new features dictated by the market and what our customers are telling us. 

Can the system notify vendors to update their paperwork?

Currently, we do not have this functionality, but it has been requested by current and prospective Customer and we are evaluating the request. 

What is the base offering?

Our base offering operates on an à la carte model, providing you with foundational access to the system's corrective actions. This flexible approach allows you to customize your package by adding only the modules you need, ensuring you pay exclusively for the functionalities you utilize.

Currently, we do not offer predefined bundles, such as three or five module packs, though we acknowledge this could be a valuable addition in the future. This means you have the freedom to tailor the system precisely to your requirements. 

Do you offer packages or bundles?

Yes, we offer the Enterprise license bundle. This comprehensive option is designed for companies concerned about annual increases in costs due to the addition of modules outside of employee headcount.  

Our Enterprise license bundle is a cost-effective solution that includes access to every module we currently offer, as well as any new releases, for as long as you remain a paying subscriber.

This all-encompassing package ensures that your company can enjoy the full range of our services at a significantly discounted rate, providing peace of mind and simplicity in managing your subscription. 

Do you provide multi-year contracts?

Yes.

Why is the cost of Enterprise Support more than the actual subscription to the software?

Enterprise Support goes beyond the basics of a standard subscription, offering a comprehensive support package tailored for businesses seeking a more hands-on approach to maximize their software investment.

The key benefits of opting for Enterprise Support include:

  • 40 Hours of Onboarding: This initial setup assistance ensures your account is fully operational from day one, facilitating a smooth rollout across your organization.
  • Dedicated Support Representatives: Having a team of dedicated professionals means you get personalized assistance tailored to your business's specific needs, allowing for a more efficient and effective use of the software.
  • Ongoing Monthly Support: With Enterprise Support, you're not just getting a one-time service; you receive ongoing support that includes four hours of dedicated assistance each month. This ensures that we are available to assist you on a nearly daily, weekly, and monthly basis, depending on your needs.

This comprehensive level of support is designed for customers who require ongoing assistance, including but not limited to, requests for customer reports or customizations.

For those who might not need such extensive support, we offer the Rapid Success Package as an alternative. This one-time fee service is a gesture of our commitment to all customers, providing them with the necessary tools to get started quickly. After the initial setup, customers can choose to manage their accounts independently, without the need for ongoing personalized support.

In summary, the enhanced cost of Enterprise Support reflects the extensive range of services and the level of personalized assistance provided, ensuring your business can fully leverage our software to achieve its goals. 

What languages does the training you offer come in?

English and Spanish. 

Can courses be edited?

  • Courses can be edited if they use the simple course definition.
  • Courses can be edited if they use their own SCORM/AICC course.
  • Course content cannot be edited if they are using a MARCOM course.

Can I add my own content to your platform?

Yes. Depending on which service you have subscribed to, you can upload SCORM/AICC content and make it available within EHS Insight.

With the SDS managed service, how often does your team update SDS?

Our commitment to ensuring the accuracy and relevancy of Safety Data Sheets (SDS) within our managed service framework is paramount. To maintain the highest standards, our policy dictates that updates are performed at a minimum of every two years. This regular review cycle is in line with industry standards and is designed to ensure that all information remains current and compliant with regulatory changes.

In addition to this scheduled update cycle, we are also responsive to specific needs that may arise. If a customer identifies an SDS that requires immediate attention, our team will expedite an update for that particular sheet. This dual approach—combining regular reviews with the agility to address immediate needs—ensures that the SDS information you rely on is both accurate and up-to-date. 

What is the number of attachments you can include on any form?

There is no limit to the number of attachments that can be included in a form as long as the total size of each attachment is less than 100MB. 

Do you provide Toolbox Talks?

No, but we provide many free resources for inspiration.

Can EHS Insight track timesheets?

No.

Can you track an employee? For example, confirm an employee is on site as required or should not be. 

No.

Do you provide prebuilt audits and inspections like other EHS Management platforms?

No, but you are free to use the examples we have in our trial. Our examples can be made available to our customers in order to modify to meet their organization’s needs. 

Is there a way to send set reminders for training assignments? 

Yes. Reminders can be set for upcoming training assignments, including annual training schedules. Whether your training plan involves one course per month or three courses per quarter, it's possible to organize all your training at the start of the year. Utilizing calendar functionalities, you can set training assignments and reminders to keep track of your annual training agenda effectively. 

Is EHS Insight fedRAMP certified? 

No.

Is the EHS Insight platform on-prem or cloud-based hosted?
