25.1 Brings Enhanced Customization, Communication, and Data Management

The 25.1 release introduces a range of powerful new features and enhancements designed to improve customization, communication, and data management within the platform. These updates aim to provide users with greater flexibility and efficiency in their workflows and reporting processes.

Here are the key highlights of this release:

  • Custom Forms Designer: Ability to create new custom forms with custom workflows.
  • Custom Email Notifications: Added capability to create custom email notifications for any workflow step.
  • Work Observation: Option to split existing Work Observation Types into separate forms with alternate data entry and reporting options.

Custom Forms and Workflow

The latest enhancements to the Form Designer in EHS Insight introduce the ability to create custom forms and workflows, a feature that requires an Enterprise License. This development is particularly beneficial for enterprise-level companies that need to tailor their processes to fit unique business requirements, which may not be fully supported by the existing modules. With the guidance of CSIS, enterprise customers can now design forms that are specific to their needs, incorporating new form types alongside existing options like "Backing List" and "Document Library."

Custom Email Notifications

Another significant feature is the ability to create custom email notifications for any workflow step. Users can open any form in the Form Designer, access the Workflow tab, and configure notifications for specific workflow steps using the Workflow Visualizer.  In the past, adding a new notification type was handled through feature requests, allowing for thorough consideration and development. Now, customers can work with CS to quickly implement new notifications, streamlining the process and reducing wait times. This enhancement allows for greater communication and task management within workflows.

Work Observation

The Work Observation module has undergone significant updates to better accommodate the diverse data capture needs of customers. The new update introduces an “alternate” pattern for managing work observations, providing an additional option alongside the existing approach. Both the old and new patterns remain relevant and valuable, depending on a company’s specific requirements.

The module now offers six new dedicated single purpose forms. These forms are designed to streamline the process by allowing customers to select and enable only the forms that align with their specific organizational needs. Each of the new forms comes with its own unique workflow, notifications, user roles, and reporting capabilities, providing a more tailored and efficient experience. This change allows for greater flexibility and customization, as customers can now manage each type of observation independently. Importantly, the existing Legacy Work Observation form will continue to be supported for those who prefer the previous system, ensuring that current users are not forced to transition to the new format. 

The introduction of these new forms also brings enhancements to the reporting and workflow processes. These updates reflect a commitment to providing more adaptable and user-friendly solutions, ultimately improving the management of safety processes within organizations.

Document Libraries

The latest updates to document libraries introduce two significant enhancements aimed at improving user experience and functionality. First, users now have the ability to rename folders within the Document Library. This feature addresses a long-standing request from customers who previously had to resort to a cumbersome process of creating new folders, transferring documents, and deleting old ones just to change a folder's name. By allowing direct renaming, the update streamlines document management and saves time, making it easier for users to organize their files efficiently.

Secondly, a new Site Setting has been introduced to enhance the use of Document Libraries in the context of Anonymous Form Submit (AFS). In AFS mode, users often need to attach documents from the Document Library when submitting forms, but unrestricted access to all documents is not ideal. The new setting allows administrators to selectively enable Document Libraries in Document Pickers for forms submitted anonymously, ensuring that users can access necessary documents without compromising security. This update provides a balanced approach to document access, enhancing both functionality and security for users engaging with forms in AFS mode.

Training Library

The Training Library has recently been updated with a variety of new and revised courses to enhance learning opportunities for users. These updates include a series of courses focused on Diversity, Equity, Inclusion, and Belonging across different environments such as Construction, Food Processing and Handling, Healthcare, Industrial, Office, and Transportation and Warehouse settings. Additionally, there are updated courses like "Driving Defensively for CDL/Large Vehicle Drivers - The Basics" and "Personal Safety for CMV Drivers." For Spanish-speaking users, new courses have been introduced, including "Cleaning and Sanitizing in Food Processing and Handling Environments Part I Cleaning" and "Part II Sanitizing," as well as a comprehensive set of Workplace Violence courses tailored for various environments and roles, including specific courses for California Employees, Managers, and Supervisors. These enhancements aim to provide a more inclusive and comprehensive training experience for all users.
