EHS Insight 24.11 Update: Improved Efficiency and User Experience

The latest 24.11 update is packed with enhancements designed to optimize your workflow, streamline vendor management, and provide greater control over your data. We've highlighted the key updates that will help you navigate these changes and make the most of the new capabilities.

  • Form Workflow Visualizer: Hover and click functionality to view individuals currently assigned to the workflow task.
  • Vendor Management: Gather multiple contacts and send automated email reminders to vendor contacts regarding upcoming document expirations.
  • Form, Document, and List Version History: View and restore earlier versions of records.
  • One-Off Acknowledgment: Deactivate pending assignments and remove them from the user’s Acknowledgment Dashboards.
  • AI Field Suggestion Copilot: Adjust thresholds through the Administration page.

Workflow Diagram and Task Reporting

Recognizing the need for a more efficient way to identify who is responsible for delays in workflow steps, we have introduced new functionality within the Form Workflow Visualizer. This includes a feature that lets users hover over and click on active steps within the form to see the individuals assigned to a workflow task.

Specific forms with "Log with Workflow" reports have been enhanced, allowing users to easily view the current workflow status and the individuals assigned to each stage. We improved existing and added new reports with insights to the forms current workflow step and users responsible to complete it. 

Vendor Management

Acknowledging the necessity for automated reminders of document expirations for vendors, the 24.11 update introduces a feature to simplify this process. Manually tracking document renewals and sending reminders is often impractical, as it is time-consuming, prone to errors, and can easily be overlooked. To address this, we implemented automatic document expiration reminders that include direct links for vendors to upload necessary documents. Users can configure settings to send 1-3 reminders before the expiration date and recurring reminders after the expiration date, with an email also sent on the expiration date itself. We also revamped the Vendor Contacts section to collect contact information and allow contacts to opt-in for reminders.

Version History and Restore

Users have expressed interest in obtaining detailed information about alterations to explore specific changes or revert to earlier versions. To address this, we introduced a new "Version History" feature. This addition allows users to view a summary of changes made to records, whether updated via Web/App, Excel, or API, and provides the option to preview and revert to previous versions. The previews are read-only snapshots, ensuring users can safely review past versions without altering them. The system tracks every save, update, and workflow change since June 12, 2021, recording the name of the user who made changes. This enhancement aims to streamline the process of managing and reviewing changes, reducing the need for support intervention and improving user autonomy.

Awareness & Accountability One-Off Acknowledgment

In our Awareness & Accountability module, we have simplified the process for customers to finalize outstanding assignments on outdated Acknowledgments. This ensures that employees can access the most current version of documents for acknowledgment, with all completions and finalized assignments accurately recorded in reports.
